Introduction
During the course of answering your questions, taking your order, and completing work on your book, we collect information that we need to finish the job efficiently and to comply with Canadian law.
Some of the information we collect is anonymous (for example, website statistics), and some is linked to you personally (for example, your e-mail address).
This policy tells you how, when, and why we collect that information and how we handle it. If you have any questions, don’t hesitate to contact us.
Our Commitments to You
We accept responsibility for the personal information under our control, and make the following commitments to you:
- We will not collect personal information about you without your consent.
- Any time we ask you for personal information, we will tell you why we need it.
- We will only ask you for the personal information we actually need for the reason(s) we give you.
- We will never use your personal information for any reason other than the reason(s) we gave you when we asked for it. If we need to use it for other reasons later on, we will get your approval first.
- We will never disclose your personal information without your consent, unless the law requires us to do so. If we are required by law to disclose your information, we will disclose as little as possible to meet our legal obligations.
- If we no longer have a reason to keep a particular piece of personal information, we’ll erase it.
- All of our policies regarding how we deal with personal information are available to anyone who asks.
- Your personal information will be stored in a secure third-party data warehouse with a high level of physical security and information security.
- Your personal information will only be handled by trusted staff who need the information to complete work or process your order.
- We will not make unnecessary copies of your personal information.
- Members of the public will not be allowed access to our offices unless they’ve been properly identified and are accompanied by our staff.
We obey the Personal Information Protection and Electronic Documents Act (PIPEDA), which is a law passed by the Canadian government to ensure that Canadian businesses respect the privacy of the individuals they deal with. Your Rights
You have the right, at any time, to contact our Chief Privacy Officer and:
- Ask for a copy of all personal information we have about you, along with an explanation of why we have collected that information and why we are retaining it.
- Request that we correct any personal information which is incorrect or has become out-of-date.
- Lodge a complaint about our handling of your personal information, and expect that complaint to be answered professionally, honestly, and within a reasonable time.

What We Collect, When, and Why
This section gives details on each type of information we collect. It lists when the information is collected, why we collect it, how long we retain it for, and why we retain it for that long.
Your credit or debit card details
We do not collect this information. Our payment partners (e.g. PayPal) collect it on our behalf and do not share it with us.
If you have questions or concerns regarding the handling of your credit or debit card details, please contact the payment provider you used (or plan to use) for placing an order with us.
Your e-mail address and correspondence
We collect your e-mail address when you correspond with us or place an order. An e-mail address is required to place an order with us.
We retain your e-mail address and past correspondence for a minimum of one year after our last communication. This allows us to efficiently make any corrections you request, and to follow up on any other requests you may have.
Your IP address and geo-location results
We collect your IP address when you place an order, and use it to geo-locate you. (Learn more about geolocation at http://en.wikipedia.org/wiki/IP_address_location.)
When we exempt non-Canadians from paying Canadian taxes, Canadian tax law requires that we record geo-location data for those people to verify that they are outside of Canada.
We are required to keep this information as part of our corporate tax records. These records are kept for a minimum of seven years, and may be shared with our accounting firm and/or with the Canadian government as required.
Your ISBN information
If you choose to have us assign an ISBN for your book, we are required to log that ISBN, along with the title, publication date, and subject of your book in our publisher’s log with Library and Archives Canada (the agency that issues the ISBN to us).
Your ISBN information is retained permanently by Library and Archives Canada. Your ISBN information is made public by Library and Archives Canada, to make it possible for the public to discover and index your book.
Your order details
We retain a record of all orders, including the contact information for the paying party, the services ordered, the fees and taxes due, and the dates and amounts of all payments.
We are required to keep this information as part of our corporate tax records. These records are kept for a minimum of seven years, and may be shared with our accounting firm and/or with the Canadian government as required.
Your manuscript text
We collect the full text of your manuscript when we need it to provide a service, or to confirm a price, quote or delivery date.
If you do not place an order with us, your manuscript is erased once our correspondence is complete, or earlier at your request.
If you place an order for e-Book production, your manuscript is retained for a minimum of one year to allow us to efficiently correct errors or process any related orders (such as producing the book in another format at a later date).
If you choose to have us issue you an ISBN, a copy of your manuscript is provided to Library and Archives Canada for permanent storage. This is a requirement for issuing ISBNs in Canada. This copy of your manuscript is not distributed to the public and can only be accessed on-site at Library and Archives Canada.
Files that we produce for you
If we produce any files for you as part of a service (cover images, EPUB, Kindle, PDF, or other files), we retain a copy of those files for a minimum of one year to allow us to efficiently correct errors or process any related orders (such as producing the book in another format at a later date).
We reserve the right to display excerpts of these files to attract future business. In the case of your cover image, we reserve the right to display the full image. We will ensure that we do not display any excerpts in a way that would violate any other terms of our privacy policy. We will endeavor to present you and your book in a positive light when displaying samples.
Your proprietary business information
In the course of providing services or responding to your queries, we may become privy to your business strategies, future plans, conceptual details of your book (plot, premise, etc.), or other proprietary business information.
We promise not to disclose this information to any outside party at any time, unless the information has become public knowledge through some other means. (For example, if you give an interview and speak about the plot details of your latest book, we are no longer bound to keep this information secret.)
Login information for third-party websites
If you request a service that requires us to log in to a third-party site on your behalf (for example, uploading your eBook files to Amazon or another distributor), we will collect your login and password information to enable us to provide that service.
We retain this information only as long as is absolutely necessary to provide the service, then we delete it immediately.
Anonymous website statistics
We collect anonymous browsing statistics for our website. These statistics are collected by third-party analytics software and by our web server software whenever a page of our site is requested by your web browser.
This information helps us to improve our website in general ways, such as making it easier to navigate.
Cookies
Cookies are pieces of information that our website stores on your computer. Cookies do not reveal personal information about you that we do not already know, but we mention them here for completeness.
Our website stores cookies in your browser when it collects anonymous browsing statistics (see above).
If you place an order, depending on how you choose to order, additional cookies may be used to facilitate the ordering process. (For example, to enable shopping cart software to run correctly.)
